Payment & Refund Policy

Payment Methods

All payments are processed securely through Stripe (third-party payment processor).

Accepted methods include major credit and debit cards and any additional payment methods supported by Stripe.

Payment details are encrypted and handled by Stripe; SynergyXpert does not store raw payment details.

Booking Durations

Clients book a consultation for whatever duration the Expert has made available on their profile. The Client is charged for the exact duration booked, shown clearly at checkout.

SynergyXpert requires Experts to host on a paid Zoom plan (Pro or higher), so booked sessions run without being cut off by free-plan time limits, regardless of length.

There is no mid-call extension or overage billing. If a Client needs more time than booked, the session must be ended and a new, separate consultation booked.

Pricing & Fees

The Client's Consultation Fee is calculated as the Expert's Base Hourly Rate, prorated to the booked duration, plus a 20% platform service fee (displayed at checkout).

The total amount charged is shown prior to confirmation and includes any platform fees and applicable taxes.

Currency conversion (if applicable) is handled by the payment processor and may incur conversion fees shown at checkout.

When Payment Is Taken

The Client's Consultation Fee for the full booked duration is charged at the time of booking, not after the call.

Charged funds are held in escrow by SynergyXpert until the call ends and the post-call hold period (see "Escrow & Payout Timing" below) has passed without a dispute.

Consultation Completion & Minimum Duration

A call must reach at least 7 minutes in length to count as a completed, billable consultation.

  • Under 7 minutes: If a call ends before reaching 7 minutes (e.g., it fails to connect, drops, or is cut short), the Expert receives no payment and the Client is automatically refunded in full for that booking.
  • 7 minutes or more: Once a call reaches the 7-minute mark, it is treated as a completed session. The Expert is paid in full for the entire duration that was booked — even if the call naturally wraps up before the booked time is used (for example, a 30-minute booking where the conversation finishes in 20 minutes still pays out as a full 30-minute session).

There is no partial or prorated payout for a call that finishes early but past the 7-minute mark.

Escrow & Payout Timing

Funds for a completed call are held in escrow for up to 48 hours after the call ends. During this window, the Client may raise a dispute (see "Dispute Resolution" below), which will pause the payout pending review.

If no dispute is raised within that window, payout processing to the Expert begins automatically. SynergyXpert aims to send payouts as quickly as possible, with an outer grace period of up to 7 business days from the end of the call for funds to be initiated and reach the Expert's payout method.

Refund Policy - Client Cancellations

Full Refund: If a client cancels 24 hours or more before the scheduled start time, the client receives a full refund.

50% Refund: If a client cancels between 12 and 24 hours before the scheduled start time, the client receives a 50% refund.

No Refund: If a client cancels less than 12 hours before the scheduled start time, no refund is provided (subject to exceptional circumstances at SynergyXpert's discretion).

Rescheduling: Clients may reschedule for free if done at least 24 hours before the scheduled start time. Reschedules within 24 hours are treated as cancellations for refund purposes.

Refund Policy - Expert Non-Attendance or No-Show

Full Refund: If an Expert fails to attend a confirmed session, the client will receive a full refund for the session fee.

Automatic Processing: Refunds for Expert no-shows will be initiated within 5 business days and should appear in the client's statement within 5–7 business days.

Platform fees are waived for sessions canceled due to Expert no-shows.

Dispute Resolution

Pre-Payout Window: Clients may raise a dispute about a completed call within 48 hours of the call ending, before the Expert is paid out. Raising a dispute in this window pauses the payout while SynergyXpert reviews the matter.

General Disputes: If you believe a charge is incorrect or the service was not provided as described, contact info@synergyxpert.com within 7 days of the consultation, even if the 48-hour pre-payout window has passed.

SynergyXpert will review call recordings, messages, and other relevant evidence to evaluate the claim and mediate. If a payout has already been released to the Expert by the time a valid dispute is confirmed, SynergyXpert will resolve the matter directly with the Expert as outlined in the Expert Agreement.

Valid refunds or adjustments are typically issued within 10 business days of a confirmed decision. Unresolved disputes may be escalated to the payment processor (e.g., Stripe) after 30 days.

Expert Payouts

Payout Trigger: Payout is triggered once a call ends and meets the 7-minute minimum, subject to the 48-hour pre-payout dispute window described above.

Payout Schedule: SynergyXpert aims to send payouts as soon as possible after the pre-payout window closes, with funds initiated and reaching the Expert within a grace period of up to 7 business days from the end of the call.

Payout Methods: Payouts are made via the payout method configured in the Expert's account (for example, bank transfer). Processing times may vary by bank.

Taxes, Fees & Currency

Clients are responsible for any taxes applicable in their jurisdiction unless otherwise specified.

Payment processing fees charged by third-party providers (Stripe) may be passed through and are shown at checkout.

Currency conversion fees applied by payment processors are the responsibility of the payer.

Changes to This Policy

SynergyXpert may update this policy from time to time. The version and effective date at the top of this document reflect the current policy. Material changes will be posted on our website at https://www.synergyxpert.com/legal.
